Responsibilities:

  1. Champion the Project Safety culture, behaviors and engagement activities.
  2. Reports to PMC Project Controls Manager/ Information Manager and works under his direction.
  3. Receives and stores all documents in accordance with the established procedures. Identifies and segregates all documents by Project number and files in accordance with the Project numbering system. Directs the reproduction, collation and distribution of documents for appropriate functional departments.
  4. Assist PMC personnel in locating and retrieving documents from archives and ensure their safe return.
  5. Liaise with PMC personnel to ensure the receipt of complete documents, updated drawings, specifications or other Project documents in accordance with specific Contract conditions.
  6. Prepare and follow-up requisitions for all documents, drawings and printing needs.
  7. Maintain monitoring system for all incoming technical documents from Contractor.
  8. Establish and maintain listing of all Project Technical documents, specifications and drawings.
  9. Supervise, control and monitor all incoming and outgoing Project documents, reproduction and distribution to The Owner, PMC team and the Contractor.
  10. Use of scanner for conversion of all key documents to electronic files/PDF for easy access and distribution.
  11. Identify all documents that need retention or removal from the Project documentation room.
  12. Manage the archiving system for the department documentation room and evaluate and recommend the methods for archiving, cross indexing and cataloguing of all documents and drawings.
  13. Ensure the proper follow-up of the As-built status of the documents and participate with the Contractor in categorizing these documents.
  14. Maintain up-to-date copies of PMC and Owner processes and specifications.
  15. Arrange, segregate and issue drawings, Vendor Manuals and all documents to the relevant Owner Concerned Teams.
  16. Coordinate the proper handling, tracking of Owner technical documentation.
  17. Maintain close liaison and coordination with Contractor’s Offices/ Construction Sites and other Owner Concerned Teams to ensure that all Project requirements are adhered to during Project
    execution and ensure the smooth handover of completed documentation, As-builts to Operations and Maintenance teams at Project close-out.
  18. Liaise with the Contractor, Vendors and Suppliers to ensure the receipt of complete documents, updated drawings and specifications or other relevant documents in accordance with the specifications, and conditions of the Contract.
  19. Coordination and follow-up for the timely completion of all Project documentation related activities e.g. Document revision and updating, Contract and its amendments finalization, correspondence with Stakeholders. Contractor, Vendors, Suppliers and Subcontractors.
  20. Closely monitor and coordinate the different documents and drawings received from the Contractor, Vendors and Suppliers to ensure that Project documentation is in accordance with the agreed deliverables register and clarify any queries or problems that might arise.
    21 Coordinate the preparation of reports, presentations, and visual aids of all kinds using various software packages and prepare as necessary the design and formats of Project documents and ensure their development is in accordance with Owner standards.
  21. Coordination and control of document quality, so that consistent high standards are maintained in all documents delivered to or from the Owner and PMC teams.
  22. Meet regularly with the Contractor to discuss and report the status of the Project administration and documentation control status.
  23. Liaises with Owner Concerned Teams for Contractor personnel and equipment travel cards, security permits and safety clearances etc.
  24. Coordinate logistics control activities for the Project such as materials receipt and raising consignment notes for transportation of Project materials to and from the Construction site(s) and the Contractor’s warehouse.
    Minimum Qualifications:
    Bachelor Engineering Degree in the relevant discipline or equivalent, wide working knowledge of PMC flow of work, extensive construction supervision in large O&G Projects covering each in his specialist.
    Aconex experience is must.
