We are seeking a highly organized and detail-oriented individual to join our team as a Documents Control Specialist. The primary responsibility of this role is the meticulous management of lease/license/access agreements associated with land rights, ensuring compliance, timely payments, and providing exceptional customer support to both internal and external stakeholders. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a proactive approach to problem-solving.

QUALIFICATIONS:

  • Bachelor’s degree in business administration, Real Estate Management, or a related field preferred.
  • 2+ years of experience in document control, lease management, or a similar role.
  • Proficiency in ARCHIBUS or similar document management software is highly desirable.
  • Strong attention to detail and ability to work with complex legal documents.
  • Excellent communication skills, both written and verbal.
  • Ability to prioritize tasks effectively and work efficiently in a fast-paced environment.
  • Strong problem-solving skills and ability to handle challenging situations with professionalism.
  • Familiarity with the regulatory environment related to land rights and agreements is an asset.

Responsibilities:

  • Management of Lease/License/Access Agreements:
  • Maintain a comprehensive database of all leases, license, and access agreements associated with land rights.
  • Ensure accurate and up-to-date documentation of agreements, including terms, conditions, and renewal dates.
  • Financial Compliance:
  • Ensure timely payment of rent and adherence to financial obligations outlined in the agreements.
  • Process invoices and payment requests promptly, including the processing of IRFs (Invoice Requisition Forms) where necessary.
  • Receipt invoices and organize them efficiently within the drive system.
  • Legal Compliance and Notifications:
  • Monitor compliance with obligations under the agreements and take necessary actions to rectify any discrepancies.
  • Provide formal notices such as renewals, construction notifications, and other relevant communications as required by the agreements.
  • Stakeholder Notifications:
  • Gather, organize, and compile notices from the Clients related to land rights and agreements.
  • Review and escalate Client’s notice of applications as necessary.
  • Customer Support:
  • Provide external-facing customer support for inquiries and requests related to land rights agreements.
  • Address ad-hoc issues that arise in relation to the agreements and ensure timely resolution.
  • Reporting and Documentation:
  • Prepare monthly reports, including PR/PO reports, project reports, and any other relevant documentation.
  • Maintain accurate records of all activities and communications related to land rights agreements.
  • Additional Responsibilities:
  • Undertake any other services required by the role as identified in proposals and directives from management.
