Responsibilities:
ROLE SUMMARY:
Providing secretarial and administrative support to the Leadership Team whilst maintaining a high level of discretion. Also responsible for ensuring the office is operating professionally, effectively and efficiently by providing support in office management, administration and HR as required.
KEY RESPONSIBILITIES:
EA to Leadership Team
- Proactively arrange and manage meetings, agendas, action items, and the creation of presentations and reports, including those of a confidential nature.
- Collate and complete APAC weekly reporting for global CEO.
- Organise business appointments and travel arrangements for the Leadership Team.
- Provide administrative support such as expenses or collating documents.
- Screen messages, handle inquiries and escalate urgent matters as appropriate.
- Coordinate business functions, lunches, dinners and events.
- Manage Leadership Team diaries, coordinate appointments, book meeting rooms and notify attendees.
- Communicate effectively with the Leadership Team, executives of external organisations, Board members, suppliers and clients.
- Provide PC assistance and other technical support to the Leadership Team as required.
Office Manager
- Take responsibility for the office area, meeting room and general facilities.
- Assist in implementing policies and procedures in accordance with internal guidelines and relevant legislation.
- Manage the company’s filing and archiving systems.
- Maintain office supplies, research purchase options for goods and services, and negotiate contracts.
- Maintain kitchen supplies and ensure area always maintained.
- Arrange internal staff movements and office relocations, including IT requirements.
- Coordinate activities related to building and equipment maintenance, including security access for employees.
- Coordinate fire warden and first aid requirements.
