Description:
University Hospitals Coventry and Warwickshire (UHCW)NHS Trust are looking to recruit a receptionist/administration supervisor to work with the emergency department at UHCW. The successful candidate will need to be available to work over the 7 days a week, days, evenings, nights and weekends with the opportunity to work additional hours on bank.
The successful candidates will be required to provide comprehensive and confidential administrative and clerical activities to meet the needs of the reception in accordance with departmental and trust guidelines, policies or procedures. Candidates will also be required to effectively communicate related information and advice regarding the reception in order to enable the multi-disciplinary team to achieve operational excellence.

Book patients into the emergency department and make follow up outpatients appointments if required.
Act as the first point of contact for dealing with routine enquiries and take action as necessary liaising with others as appropriate.
Communicate with staff, patients and/or external organisations using appropriate methods.
Maintain both mutual and electronic filing systems and databases, as required by the department and trust policies, ensuring all documents are accurately and appropriately archived.
Maintain an efficient and comprehensive administrative service, including photocopying, providing support to the departments and other team members as requested.

Utilise relevant Trust IT systems, as determined by the role, ensure all relevant patient data is collected and input accurately in line with Trust guidelines. These systems may include IpM, CRRS, CPIS etc.
Assist with training new team members in Trust operational systems and department procedures.
Responsible for overseeing stationery ordering and other equipment whilst monitoring and maintaining stock levels.
Responsible for the receipt and distribution of incoming/outgoing post and action accordingly.
Prioritise daily tasks to achieve timescales set
Provide appropriate cover in the absence of other members of the team
Ensuring relevant information is captured for overseas/private patients
Responsible for the NHS 111 referral inbox. Ensuring the at the inbox is monitored regularly throughout the day.
Creating external referrals for NHS 111 referrals
To ensure that any requested changes to clinics are administered in a timely and efficient manner
