We are looking for a highly-organized Office Administrator to support our day-to-day office duties including managing the reception desk, supplies ordering, maintenance of office and equipment, meeting room set up and take down, restocking the kitchens, and managing incoming and outgoing mail and courier. This is an on-site position based out of our office in Pickering, ON.

Responsibilities:

  • Greet and direct internal and external visitors
  • Keep a clean and professional reception area
  • Answer phone calls and emails from internal staff and provide support as needed
  • Maintain office equipment like copiers and printers
  • Maintain a weekly inventory of stationary and other supplies, keep storage rooms organized
  • Coordinate daily mail and courier services; distribute incoming deliveries, arrange pick-up of outgoing courier and mail
  • Manage the electronic calendars of Boardrooms and Meeting Rooms
  • Arrange catering for meetings, including set up and maintaining cleanliness of Boardrooms and Meeting Rooms
  • Maintaining the cleanliness and organization of the office kitchen; ensuring beverage fridges are fully stocked
  • Provide support in filing and completing office paperwork like insurance documents

REQUIREMENTS:

  • Experience in a similar role in an office environment, or:
  • Post-secondary education in office administration or similar programs
  • Computer skills, proficiency in Microsoft Office Suite and Adobe Acrobat
  • Effective communication skills (written and verbal)
  • Strong customer service skills
  • Able to work well under pressure and meet tight deadlines in a fast-paced office environment
  • First Aid Certified is an asset
