Description:

The purpose of this role entails offering administrative assistance, including personal and board administration support to the ESG Director. Additionally, the role involves aiding in the office management of the C-Suite area to maintain its smooth operation and adherence to health and safety guidelines. Effective communication across all levels is crucial for meeting deadlines and addressing inquiries in a professional manner.
Qualifications: Business administration degree and/or Executive Secretary tertiary course
4 + years’ in administrative environment
Computer literate (Microsoft Suite), advance typing, communication skills (written & verbal), organisational skills, events management, project management, diary management, time management and general office management
Retail Industry knowledge advantageous
Responsibilities: Board Administration:
Assisting with board pack deliverables and uploads onto Diligent platform.
Assisting with the setting up and management of main board meetings (Invites, catering and logistics).
Assisting with Director induction programmes for new Board Directors.
General Administration:
Managing invoice payment process (invoices are approved, daxed, processed and sent to finance for payment).
Support the ESG team with adhoc duties
Managing requests for information from internal and external parties.
Increased support to the C-Suit Exec Assistants for general enquires, area maintenance, guest management, boardroom management and any corporate needs.
Personal Assistant Duties (ESG Director):
Responsible for the day to day personal errands.
Provide diary management in order to ensure efficient use of available time to meet business needs.
Arranging meals and refreshments daily.
Co-ordinate local and international travel and accommodation arrangements when required.
Processing company credit card recons.
Ordering of stationery and purchasing of special occasion gifting when requested
