EVENTS ADMINISTRATION ASSISTANT – SKY STADIUM

Delaware North is a market leader in the catering and hospitality industry with a portfolio spanning across sporting stadiums, airports, leisure and entertainment venues across Australia and New Zealand.
With a capacity of more than 35,000 for sporting events and up to 50,000 for concerts; Sky Stadium is the busiest stadium in New Zealand. Home to the Hurricanes, Wellington Lions rugby team and Phoenix FC, Sky Stadium also hosts super rugby, cricket, rugby league, concerts, exhibitions, non-event day functions and conferences.
We are now seeking the next events superstar to join our on-site team at Wellington’s iconic stadium on a part time basis.
Reporting to the Corporate Sales & Marketing Manager, the Events Administration Assistant will play a pivotal role in facilitating the seamless execution of our diverse range of events at Sky Stadium. This multifaceted position encompasses planning, administration, and communication tasks essential for event success.
The Events Administrator will actively manage the coordination and dissemination of crucial information and documentation, such as floorplans and concept drawings. Additionally, they will handle purchase orders, gather equipment data and pricing details, and liaise effectively with suppliers, contractors, technicians, and other stakeholders involved in event setup and execution.

The following skills will be highly regarded:?

  • Demonstrated administration experience
  • Hospitality experience would be desirable however not essential
  • Proficient in Microsoft Office programs
  • Exceptional attention to detail with a high accuracy level
  • Ability to maintain a high level of initiative, enthusiasm and drive during peak event periods
  • High level organisation and time management skills essential
  • The ability to think on your feet and forward pla

Responsibilities:

  • Building and maintaining relationships with new and existing clients
  • Compiling and executing event orders for distribution
  • Create charge sheets post event for invoicing
  • Creating proposals for bespoke events
  • Identifying and communicating new trends within the market and innovations
  • Communicate with Sky Stadium for updates on bookings for matchday. Forward to information on to relevant parties
  • Communication of any special requirements and VIPs for matchday to relevant managers
  • Creating corporate dining roster templates based on upcoming event information
  • Input Corporate Dining forecasts based on event information
  • Forecasting of cash bar revenue based on event billing information/past revenue reports
  • Updating and printing menus as required
