QUALIFICATIONS & EXPERIENCE

  • Minimum of three years of hospitality experience, preferably as an events or wedding coordinator.
  • Demonstrated strong attention to detail.
  • Availability to work weekends is essential.
  • Passion for working collaboratively with people.
  • Proficiency in computer skills and excellent communication abilities.

Responsibilities:

  • Acquire a comprehensive knowledge of our attractions and the range of products and services offered.
  • Collaborate with the Head of Sales & Marketing to efficiently manage and book all tour, group, event, and wedding reservations, maximising every opportunity.
  • Ensure timely and accurate responses to all booking and guest inquiries, providing detailed information, quotations, proposals, and contracts for various events.
  • Track and follow up on all inquiries using provided tools, maintaining thorough documentation of client communication.
  • Accurately input all group bookings into the system, including relevant notes and rates.
  • Manage all payment and billing information for each group, collaborating closely with the Accounts department.
  • Uphold telephone etiquette and language standards.
  • Conduct guided tours of the estate, actively upselling across all departments.
  • Deliver exceptional customer care consistently, maintaining operational standards for smooth operation.
  • Demonstrate proficiency in managing attraction ticketing, events, and reservations software.
  • Produce a weekly forecast sheet for all events business, ensuring the computer system is regularly updated and accurate.
  • Take responsibility for scheduling tour guides and liaising with catering partners to devise menus and set up requirements.
  • Monitor guest feedback and conduct regular team briefings.
  • Provide operational assistance for key events and arrange equipment hire as needed.
  • Assist with managing guest accommodations as required, alongside performing other administrative tasks.
