Description:

POSITION OVERVIEW

We are looking for an exceptional Events Manager with diplomatic personality, and the ability to handle sensitive situations tactfully with discretion and consideration. S/he will be responsible for MICE (Meetings, Incentives, Conventions and Exhibitions) requests, and manages all aspects from conceptualisation, quotation proposal, planning, acquiring procurements for fulfilment of event logistical needs, onsite event management, manpower managing till the final invoicing.

QUALIFICATIONS:

  • Diploma or Degree
  • Minimum 5 years’ experience in a similar position within the Tourism/Hospitality industry
  • Fluent in spoken and written English (French as a second language would be an advantage)
  • Profound understanding of western culture and client expectations.
  • Good knowledge in MS Office, Google Suite and Google Workspace.
  • Knowledge in TourPlan system will be an advantage.

SKILLS:

  • Excellent sales, communication and negotiation skills.
  • High degree of customer service with an eye for detail and presentation.
  • Hands-on experience with the ability to work as part of a team.
  • Strong time management & organisational skills to manage multiple projects simultaneously.
  • Ability to work as an effective team leader with excellent interpersonal skills.

Responsibilities:

  • Ensure that EXO’s standard procedures are applied & delivered at optimal level consistently.
  • Enforce and negotiate the adoption of the agent’s/client’s terms and conditions to identify and mitigate any legal or financial risks with engaging third-party suppliers.
  • Build and maintain good relationships with agents/clients.
  • Provide consultative approach to sourcing, selection and presentation of venues and/or suppliers, taking into consideration agent’s/client’s requirements, timeline, budget, key success factors for the event.
  • Ensure proposals are sent out to agents/clients in a timely manner and with adequate creative content fitting or exceeding agent’s/client’s requirements.
  • Leading agents’/clients’ inspections to explain, confirm and possibly upsell additional services.
  • Creating continuously new ideas and adapting current programs to specific requests.
  • Supervise, support, and facilitate smooth operations onsite.
  • Conduct training and briefing of guides on the incentive travel programs.
  • Establish and maintain excellent working relations with our preferred suppliers and negotiate for the best terms & conditions.
  • Plan annual Events department budget including profit margins and manpower requirements with the General Manager.
  • To lead Events team, to share knowledge and build skills for both Events team and larger EXO Singapore organisation.
  • Attend MICE business development events and work with colleagues internationally to generate referrals and repeat business.
  • Keeping EXO Sales Offices informed of new products and their USP factors.
  • Create and maintain a MICE services database (programs and prices) and implement the use of in-house software for the Events Department.
  • Maintain supporting information needed for internal and external usage such as fact sheets, photographs, route notes and product descriptions.
  • Communicate with and exchange best practices with other EXO events offices.
