About the role
As a People & Talent Coordinator, you will primarily support our EverWell business vertical, comprised of two products; Timely & SalonBiz. Timely and SalonBiz serve over 24,000 customers in 100 countries. We offer SaaS solutions to customers of varying sizes and stages, serving different customer profiles within the beauty industry.
The core purpose of the People & Talent Coordinator is to provide exceptional support to our team across all areas of the employment lifecycle. The People & Talent Coordinator will look after all administrative aspects of the employee lifecycle from recruitment through to those moving on from EverCommerce. This role will work closely with the wider Global People Team to execute top-notch people experiences for our team. You believe that people are the lifeblood to any company and know that hiring world-class talent is core to our success. From generating pipeline to maintaining a high offer acceptance rate, you are truly a partner to Hiring Managers and candidates alike. You have a “no candidate left behind” mentality, you’re passionate about making the candidate experience delightful by ensuring inclusivity and considered communication through every step of the hiring process.
This role will involve:

Talent Acquisition

  • You will be directly involved in all aspects of the recruitment process and will be a consistent point of contact for all candidates.
  • You help managers by scheduling all interviews (virtual and in-person), book meeting rooms where appropriate, liaise with candidates regarding the next steps and communicate with agencies when required.
  • You take pride in ensuring that every applicant is responded to and that they have a positive and memorable application and interview process.

Offer + Employment

  • Once we’ve decided on our ideal candidate and reference checks have been completed, you’ll prepare an offer letter, subsequent employment contracts and new starter paperwork, once start dates are confirmed.
  • At this point in the process, you will work closely with our Payroll Team, to collect all information required for payroll.
  • You’ll make sure all paperwork is signed, returned and saved before the start date.
  • At times, our team undergo formal changes to their contracts, and these require variation letters.
  • You’ll be responsible for preparing these and ensuring they are signed and filed

Pre-boarding

  • You’ll be the primary point of contact for all new joiners from offer acceptance through to day one.
  • You are thorough and organised, ensuring that equipment has been ordered, home office is set up correctly and there are no unanswered questions leading up to day one.
  • You’ll be the go-to for all pre-boarding questions and make sure our new starters are totally prepared for their new Timely adventure.
  • You’ll liaise with IT to ensure IT equipment is ordered, configured and sent with plenty of time to spare.
  • At this point, if there is any information outstanding for payroll, you will collect and pass this into our Payroll Team

Onboarding

  • You’ll coordinate our entire Onboarding process from start to finish.
  • This will involve booking slots with our presenters, inviting new starters to their onboarding program and ensuring they are up to date with what to expect from their onboarding week.
  • You’ll check in during the onboarding week to ensure all questions are answered and everyone knows what they are doing.
  • This is your baby and you’ll take complete ownership of this process, which may include juggling multiple time zones.

Team data maintenance

  • Our team files will be up to date with the latest versions of contracts, visa’s, passports and job descriptions.
  • You might audit these on occasion to check for outstanding documentation, but you’ll be confident it’s all there.

Ad hoc

  • Our People team are always looking at ways to elevate the experience our team has at Timely.
  • This involves upgrading current processes and implementing new ones.
  • You’ll likely be involved in many projects that will support the EverWell business.

What you will need to be successful:

  • Experience with full-cycle recruiting in New Zealand, bonus if you’re also familiar with the Australian and/or UK market.
  • Experience sourcing and closing roles ranging from Junior to Leadership positions
  • Relentless drive to find the best talent and connect them with the right opportunity within EverCommerce
  • Top notch communication skills. You can connect and effectively communicate with people of all levels and from all backgrounds
  • Ability to coach hiring managers throughout the recruiting and onboarding processes
  • Flexibility. A fast-paced, high change environment excites you
  • Willingness to learn and lean in where needed regardless of the ask
  • Desire to have a blended role where your duties include HR and Talent Acquisition
  • Experience using Workday preferred
  • Experience with contract generation software, we use Juro
