Description:

Avion Solutions Inc., an employee-owned company, is seeking candidates for an Executive Administrative Assistant/Analyst to support the AvMC DEVCOM SRD Maintenance Airworthiness Engineering Division and the Corpus Christi Army Depot (CCAD). This position is based in Corpus Christi, TX.

REQUIRED EXPERIENCE:

  • Bachelor’s and seven (7) years of experience, or high school and nine (9) years of experience.
  • Will have experience managing front-office and fast-paced taskers.
  • Must have advanced skills in using Word, Excel, PowerPoint, SharePoint, Visio, Adobe, and DTS.
  • Strong written and oral communication skills.
  • Must be highly detail-oriented with a strong background in data analysis, problem-solving, strategic thinking, project management, process improvements, mentorship, and leadership.
  • Must be a US Citizen and have/able to obtain and maintain a DoD Secret Security Clearance.

PREFERRED QUALIFICATIONS:

  • Former Executive level experience supporting Senior Management.
  • Active DoD Security Clearance
  • Must be able to travel up to 25% of the time. US travel only.

Responsibilities:

  • Responsible for collaborating and providing administrative support for Contractor and Division Level Managers.
  • Assist in addressing staff inquiries and provide excellent customer service to customers and visitors.
  • Manage conference room scheduling and activities.
  • Manipulation, addition, and maintenance of documents and calendars on the SharePoint Portal.
  • Subject Matter Expert for document searches and entry, interacting with customers, and keeping data accurate and current.
  • Facilitate modification and creation of correspondence and routing throughout the Project Office for four Contractor Companies and Divisions.
  • Administer and control calendars, telephones, miscellaneous memorandums, and correspondences.
  • Oversee general office operations and management, including communication with vendors for supplies, equipment, services, and communication with CCAD facilities.
  • Manage and organize documents, files, and records while ensuring confidentiality and security for sensitive information. Manage the weekly pickup and distribution of incoming/outgoing mail. Coordinate with relevant departments to ensure timely delivery of important correspondence.
  • Coordinate activities/events and communications within the division and with contractors and provide guidance and support.
  • Coordinate and process travel and expense vouchers.
  • Other duties as assigned.
