Executive Administrative Assistant V
Are you a detail-oriented executive assistant with a ‘can do’ attitude?
We are looking for a flexible and pro-active Executive Assistant!
About our Team

About the Role
The role provides executive support and serves as the primary point of contact for internal and external parties. Playing a key role in enabling the formation of the community culture at our London Wall office.

Responsibilities

  • Providing administrative assistance, proactively managing daily calendars, email and phone communications including calls back where appropriate.
  • Anticipating business needs of the executive, both on a routine and a project basis
  • Developing and maintaining a system that alerts executives to upcoming deadlines on requests or events.
  • Planning and preparing for meetings, including financial reviews, 1:1s and other regular catch ups
  • Managing domestic and international travel arrangements
  • Coordinating trips entails organizing travel, visas, hotels, transport, meetings, contacts, reservations, directions, and time zones
  • Supporting our Head of House and London community by being a community enabler, creating and coordinating team activities and events (e.g. Hackdays, social events internal/external) with the help of the social committee.
  • Making best use of diverse channels to maximize the effectiveness of our internal communications to prepare and share internal communications.
  • Being creative about what and how to communicate with hundreds of people on different products and within different parts of the organization.
  • Taking ownership of the community budget to ensure the best possible value by using creative thinking and ingenuity.
  • Support our new talent and onboarding team by facilitating onboarding sessions.

Requirements

  • Have demonstrable experience supporting senior management in an internationally matrixed, agile and high-pace organization.
  • Be highly professional with excellent interpersonal, organizing and fantastic communication skills.
  • Be able to handle multiple assignments simultaneously in a ever-changing international environment, while setting priorities and meeting deadlines.
  • Have excellent proficiency in English (Business Level both oral and written).
  • Demonstrate excellent knowledge of Microsoft (Outlook, Word, Excel, PowerPoint).
