THE ROLE

The Victoria State Office operates in a dynamic environment and is responsible for the frontline delivery of the department’s employment, skills, and training initiatives.
The Executive and Corporate Assistant is responsible for supporting the Victoria State Manager in his/her day-to-day business, with a strategic focus on the key work being undertaken across the State.
Reporting directly to the Victoria State Manager, and as a team member of Victoria Office Corporate and Enabling team, the Executive and Corporate Assistant plays a vital role in providing high quality support and service. Key features of this role include building strong collaborative working relationships across the State office and broader Division, providing assistance to other DEWR Senior Executives Staff when they visit Victoria, and supporting the Senior Leadership team to build and foster a positive workplace culture that advance the department’s Diversity and Inclusion agenda.

DUTIES AND RESPONSIBILITIES

  • Diary management and triaging the workflow through the State Manager’s office, which may include complex or sensitive requests, anticipating and managing changing circumstances and ensuring priorities and deadlines are met.
  • Meeting preparation, coordinating papers, speaking notes, briefing notes, and regular reports for the State Manager.
  • Develop and maintain effective working relationships with internal and external stakeholders. Represent the State Manager and Victoria Leadership Group in dealings with internal and external stakeholders.
  • Assist the Corporate and Enabling team with logistics support to visiting Senior Executives, Ministers and external stakeholders, and assist DEWR colleagues with room management or greet guests for stakeholder engagement meetings.
  • Assist the Senior Leadership team to organise diversity and inclusion activities and social events to promote a positive workplace culture e.g., Days of Significance.
  • Assist the Victoria Office Corporate and Enabling to prepare monthly Staff Newsletter and other communication updates.
