Description:
3TG Staffing Solutions is seeking a highly organized and detail-oriented Executive Assistant to provide exceptional administrative support to our executive team. The ideal candidate will be a proactive problem-solver, capable of handling various tasks with precision and confidentiality. The Executive Assistant will play a key role in ensuring the smooth operation of the executive office, managing schedules, coordinating meetings, and handling communication on behalf of the executives.
QUALIFICATIONS:
At least 3 years of previous Admin experience or Executive Admin. Experience
Excellent organizational and time-management skills.
BA in Business Administration or Communications (highly preferred)
Strong written and verbal communication skills.
Proficient in Microsoft Office Suite and other relevant software.
Ability to maintain confidentiality and handle sensitive information.
Exceptional attention to detail and accuracy.
Proactive and able to work independently
Responsibilities:
Calendar management: Efficiently managing and coordinating executive calendars, including scheduling appointments, meetings, and conferences.
Anticipate and resolve scheduling conflicts to ensure optimal use of executive time
Act as a primary point of contact between executives and internal/external stakeholders.
Draft and edit emails, correspondence, and other documents on behalf of executives.
Organize and coordinate meetings, ensuring all necessary resources are available.
Prepare meeting agendas, take minutes, and follow up on action items.
Arrange complex and detailed travel itineraries, including flights, accommodations, and transportation.
Prepare travel-related documents and ensure executives are well-prepared for their trips.
Organize and maintain electronic and physical files, ensuring easy access to important documents.
Assist in the creation, formatting, and editing of reports and presentations.
Handle sensitive information with the utmost discretion and maintain a high level of confidentiality.
