Responsibilities:

  • Provide administrative support to ensure efficient operation of the office.
  • Assist with the preparation of regularly scheduled reports.
  • Schedule and coordinate meetings, appointments, and travel arrangements for managers or supervisors.
  • Maintain filing systems, both electronic and physical.
  • Manage office supplies stock and place orders as necessary.
  • Answer and direct phone calls in a polite and friendly manner.
  • Welcome and assist visitors when they arrive at the office.
  • Handle sensitive information in a confidential manner.
  • Perform other administrative duties such as filing, photocopying, transcribing, and faxing.

Requirements:

  • High School degree; additional qualification as an Executive Assistant or Secretary will be a plus.
  • Proven experience as an administrative assistant or office admin assistant, preferably in the oil and gas sector.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like printers and fax machines.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task
  • Must have oil and gas sector experience
  • Legally eligible to work and reside in Canada.
