The opportunity:
We are currently recruiting for an experienced Executive Assistant to provide support to our busy Chief Customer Officer who leads the largest business unit for AIA New Zealand.
This position offers an exciting opportunity to work closely with a dynamic team of leaders in a fast-paced environment.

Key responsibilities include:

  • Diary, phone and email inbox management
  • Compiling reports and data as requested in a professional manner, including presentations, financials, and statistics
  • Ensuring our Chief Customer Officer is fully prepared in a timely manner for Executive and Board Meetings, and meetings are set up as required
  • Assisting in the expense budget management for your assigned business unit
  • Financial reconciliation – assisting with Chief Officer and Executive Leadership Team expense budgets, identifying overspends, duplications and mis-coded items
  • Meeting coordination, including management of agendas and minutes
  • Solving issues or dealing with queries where possible and escalating them to the right person as appropriate
  • Following up of key deliverables and actions
  • Managing travel arrangements for the Chief Officer, Executive Leadership Team, and overall function as required
  • Arranging external workshop or meeting venues when needed
  • Arranging functions and catering as needed at either internal or external venues
  • Ensuring wider function’s basic administrative requirements are met (stationery orders, photocopier maintenance, etc.)

Ideally, you’ll bring:

  • Experience working as an EA or PA to an Executive within a corporate or professional services environment
  • A drive for results with exceptional time management and organisational skills
  • Ability to work with ever-changing priorities, deadlines, and a high-pressure environment
  • Good use of initiative and an inquisitive mind to stay one step ahead
  • Strong stakeholder management skills and the ability to influence at all levels to reach desired outcomes
  • A high level of professionalism at all times, especially when handling sensitive information
  • Advanced Microsoft Office skills
