EXPERIENCE

  • Proven EA experience at a senior level within a large organisation. Previous experience in insurance or roles with corporate governance experience would be advantageous.
  • Exceptional organisational skills to ensure that work is prioritised appropriately, deadlines are met, and key stakeholders kept updated.
  • Able to maintain a high level of accuracy and attention to detail, even whilst potentially working on a number of complex tasks simultaneously.

Responsibilities:

ROLE DESCRIPTION

We are looking for a talented and experienced Executive Assistant to join our team in a wide-ranging role working as a right-hand to the MD of Allianz Personal (AZP) and working collaboratively with the Personal Assistant and Business Manager as part of a close-knit AZP MD Office Team.
This is a great opportunity for someone with experience supporting at MD level in a fast-paced environment, overseeing a broad range of subjects and driving the delivery of key activity for the MD and their Leadership Team.
This role will be based from our office in London City with the ability to work from home but there will be an expectation to spend at least 3 days per week in the office. The days in the office are not on a fixed pattern and will work around the MD’s diary.

Key Responsibilities

  • Ownership of & Secretary for AZP Leadership Team meetings; ensuring timely discussion on appropriate topics, presenters & paper authors briefed with a clear purpose, collating & issues papers, oversight & management of actions arising, managing all meeting logistics, capturing accurate minutes & circulating in a timely manner.
  • Ownership & co-ordination of all AZP reporting & requirements to upwards Executive & Board Committees; tracking deadlines and paper requirements across various committees, briefing required inputs into AZP business owners, ensuring appropriate time planned for AZP MD paper review, tracking & ensuring all actions updated & closed within agreed timescales.
  • This role requires the oversight of both AZP Leadership Team meetings and upcoming input to upward Committee meetings, in order to facilitate the right discussion, debate & direction-setting. Whilst also ensuring that any escalations or hot topics being tabled at upward Committees have had suitable visibility by the MD or their Leadership Team first.
  • Responsibility for overseeing good meeting governance; ensuring accurate meeting Terms of Reference, delegated authorities and statements of responsibility are in place.
  • Maintain a close relationship with the Internal Communications Team to promote successful communication within the business.
  • Co-ordinate all site visit and internal engagement activity for the MD; ensuring clear purpose and value driven from the time spent. Working with the Internal Communications Team to maximise opportunities to increase MD visibility.
  • Manage approvals on behalf of the MD; ensuring items are in line with applicable policies before presenting for MD review & sign-off.
  • Oversight of complaints directed to the MD, tracking with the Customer Relations Unit (CRU) & updated the MD as required.
  • Responsibility for internal or external best-practice sharing visits; agenda setting, managing all logistics & content creation.
  • Join key meetings and contribute to debates as a member of the AZP Leadership Team, decision-making processes and action planning.
  • Work closely & collaboratively with the Personal Assistant & Business Manager as part of a close-knit MD Office support team, whilst also building strong & close working relationships with the AZP Leadership Team
