Description:

OUR CLIENT A LEADING LOCAL INVESTMENT FIRM THAT HAS HAD A PRESENCE IN THE REGION FOR ALMOST HALF A CENTURY IS HIRING AN EXPERIENCED EA AND OFFICE MANAGER TO JOIN THEIR TEAM.

The EA/OM will provide comprehensive support to the senior management team and Directors. This multifaceted role involves managing administrative tasks, including overseeing HR functions, compliance, IT operations and serving as the Board Secretary. The ideal candidate should be organized, proactive, and capable of handling diverse responsibilities. Strong proficiency in both English and Arabic languages is preferred.

REQUIREMENTS AND SKILLS:

  • Proven work experience as a Senior Executive Assistant, Executive Administrative Assistant, or in a similar role.
  • Relevant experience as a Board Secretary with high proficiency in taking meeting minutes etc.
  • Strong proficiency in both English and Arabic languages.
  • Excellent knowledge of MS Office (Word, Excel, PowerPoint, Outlook).
  • Appropriate organizational and time management skills.
  • Ability to show initiative when required and lead administrative processes but also be a team player.
  • Strong verbal and written communication skills.
  • Discretion and confidentiality.

Responsibilities:

  • Administrative Support:
  • Manage information flow efficiently and accurately.
  • Maintain executives’ calendars, schedule meetings and coordinate business events.
  • Arrange travel and accommodation as needed.
  • Oversee other clerical staff.
  • HR Functions:
  • Assist with HR-related tasks, including recruitment, onboarding and employee records management.
  • Coordinate training sessions and workshops.
  • Handle confidential personnel matters with discretion.
  • Compliance Oversight:
  • Ensure legal and regulatory documentation is permanently up to date including trade licenses, investment documentation and related KYC information, staff residency and health insurance.
  • Assist in preparing for audits and reviews.
  • Maintain accurate records related to compliance matters.
  • IT Supervision:
  • Manage office technology and applications (e.g., e-calendars, copy machines).
  • Coordinate IT support for hardware and software issues.
  • Collaborate with the IT team to address any technical challenges.
  • Board Secretary Responsibilities:
  • Prepare and distribute meeting agendas, minutes, and other Board-related documents.
  • Coordinate Board meetings, including scheduling, logistics, and follow-up actions.
  • Maintain official records, resolutions and corporate governance documents.
