We have an exciting opportunity to join our team as an Executive Assistant.

POSITION SUMMARY

The Executive Assistant is a key role for our organization providing administrative assistance and support to our operations department.

Responsibilities:

  • Provides overall administrative support for multiple executives.
  • Maintains daily calendar and schedules for designated corporate staff members via Microsoft Outlook.
  • Coordinates and schedules activities relating to meetings and conferences.
  • Books all hotel and travel arrangements according to company guidelines.
  • Prepares all necessary support materials to include meal planning and various other related meeting items.
  • Processes expense reimbursement requests in a timely manner for the executive teams via the Concur accounting and reimbursement system.
  • Prepares and distributes correspondence.
  • Maintains an accurate and efficient filing system.
  • Screens calls and visitors.
  • Provides support to other departments when needed to cover for absences, heavy workloads, etc.
  • Prepares reports, spreadsheets and related material as requested.
  • Monitors supplies, special orders, etc. for designated work group.
  • Performs other duties as assigned.

Qualifications:

EDUCATION & EXPERIENCE

  • Associates Degree or High School diploma required.
  • 4+ years of experience as an administrative assistant with a preference towards executive support.
  • Experience supporting several high level executives.
  • Experience with Microsoft Office including Excel, Outlook and PowerPoint.

KNOWLEDGE, SKILLS & ABILITIES

  • Skills in organizing and prioritizing workloads to meet deadlines.
  • Ability to display a high level of professionalism and discretion.
  • Displays highly professional oral and written communication skills.
  • Ability to interpret, adapt and apply guidelines and procedures.
  • Ability to use good judgment regarding administrative issues.
  • Ability to communicate effectively with managers and co-workers.
  • Ability to use good judgment and to maintain confidentiality of information.
  • Ability to work as a team player.
