Position Summary:

The Executive Assistant is responsible for managing all support activities for the Vice President of HCB Business Planning and Performance Management, encompassing a wide range of activities including management of a complex calendar and scheduling requirements, leading the coordination of travel, preparing expenses, and tracking key deliverables.

  • Sounding board, confidant, and conduit to keep the executive well informed and help facilitate his/her decision making
  • Calendar gatekeeping, prioritizing and providing recommendations on scheduling conflicts
  • Maintain an efficient flow of information between all levels including internal and external contacts on a wide spectrum of plans and priorities
  • Review, proofread, and format all correspondence to ensure accuracy, completeness, and consistency
  • May attend senior level meetings to take notes and follow-up on outstanding agenda items
  • Assist in document management, compilation, distribution, and storage
  • Total travel coordination including air and ground transportation, hotel reservations and other travel documentation, as well as the preparation of associated expense reports.
  • Plan and implement team meetings, events, and activities
  • Act as department’s Cultural Champion to recognize employee successes and improve employee engagement

Required Qualifications:

  • 5 or more years of administrative support experience
  • 5 or more years of calendar management, meeting coordination, travel coordination, etc.

Preferred Qualifications:

  • Experience supporting leaders within the healthcare or insurance space
  • Advanced use of the Microsoft Office Suite (Outlook, Excel, OneNote, PowerPoint, and Word)
  • Demonstrated success working in an ambiguous environment
  • Demonstrated ability to prioritize and multi-task while maintaining commitment to deadlines
  • Demonstrated success using business judgment to help drive key deliverables of the business
  • Proven track record demonstrating ability to work effectively with minimal supervision and use independent judgment
  • Strong organizational and communication skills, team orientated philosophy, and problem-solving skills
  • Ability to interact effectively with the high-level executives
  • Strong interpersonal and collaboration skills

Education:

  • High school diploma/GED or equivalent experience required
  • Bachelor’s degree in business administration or another related field preferred
