REQUIRED SKILLS AND QUALIFICATIONS

  • Minimum 5+ years of broad experience in a senior/executive administrative role.
  • Post secondary diploma or degree in business administration is preferred.
  • Experience supporting Committees and Councils a strong asset.
  • Advanced MS Office 365 skills (Word, Excel, PowerPoint, Outlook, Teams, SharePoint).
  • Experience preparing agendas and advanced minute taking skills.
  • Strong critical thinking skills with an excellent attention to detail and accuracy.
  • Professional written and verbal communication skills.
  • Excellent organizational and time management skills.

Responsibilities:

  • Manage calendars, scheduling meetings, and coordinating travel arrangements.
  • Screening and prioritizing correspondence, including emails and phone calls.
  • Manage both in person and virtual meeting logistics including creation of meeting materials, packages and executive summaries, booking boardrooms & banquet halls, A/V requirements.
  • Record and distribute meeting minutes and action items.
  • Prepare and format letters, PowerPoint Presentations, reports, visuals, and other materials to support meetings and projects.
  • Monitor deadlines for assignment and action of tasks.
  • Electronic and paper filing.
  • Track expense claims and additional tasks as required and assigned.
