We are growing our locations and are investing significantly into establishing a new large-scale manufacturing site for biopharmaceuticals in the United States as well as expanding our manufacturing site in Denmark to accelerate the growth of our Bio CDMO (Contract and Development Manufacturing Organization) business. This will be the largest network of end-to-end cell culture CDMO facilities in the world.
Our new sites will offer a network of end-to-end solutions to our customers looking to manufacture biopharmaceuticals in the US and in Europe. In addition to drug substance manufacture, our sites will also provide automated fill-finish and assembly, packaging, and labeling services.
About This Role
Our new Large Scale Executive Assistant will provide a high level of administrative and office support to the Large Scale Business Unit Leadership Team (LS BULT). The role will involve coordinating executive level projects, preparing and editing weekly reports, using some analysis to review and recommend changes to reports, scheduling meetings, managing calendars, travels and expenses for leaders. This role will need to anticipate the upcoming needs of executives in a growing environment.

What You’ll Do

  • Confidential support of the day-to-day duties of the BULT members, anticipating administrative and logistical requirements and support
  • Work collaboratively with a strong team mentality and cohesiveness to ensure strong Administrative support
  • Anticipate BULT needs, ensure efficient management of their calendars & protect time as appropriate
  • Assist leaders with organizing, scheduling and managing logistics for offsites and events
  • Schedule meetings, take meeting minutes, organize calendars, and manage conference room schedules as assigned
  • Liaise with visitors, investors, vendors and candidates as required for BULT support
  • Interface and navigate meeting technologies including company conference calls for BULT members ex: Virtual Meetings, Outlook Calendars, Setting up projection and presentations with various types of equipment
  • Providing high level administrative and office support
  • Make travel arrangements including airfare, hotel and transportation for BULT members while also anticipating other needs may have during travel
  • Creation, preparation, editing of PowerPoint presentations, briefing papers, reports and spreadsheets as needed
  • Process expense reports
  • Provide superior customer service
  • Project management as assigned
  • Other duties, as assigned

Who You Are
The ideal candidate is a self-starter who proactively can anticipate the next needed support for the BULT members. A naturally service minded person, who takes pride in offering support for a busy leadership in the day to day.

Basic Requirements

  • Associate degree required. Bachelor’s Degree preferred
  • At least 5 years of experience as an Executive Assistant. Preferably experience from supporting Executive Leadership / C Suite.
  • At least 2 years of advanced skills working and being proficient in Microsoft Office product, required
  • High degree of discretion and confidentiality, required
  • Extensive experience with calendar management and coordination, required
  • Experience with travel management and coordination, required.
  • Being flexible to working in a global environment which will, at times, require meetings outside normal working hours.

  • Advanced Outlook, Excel and PowerPoint experience
