Description:

Framestore’s Melbourne studio has an exciting opportunity for an entry-level Executive Assistant!
The Executive Assistant position plays a key role in offering comprehensive support to the Head of Studio and the wider leadership team. This junior level position focuses on developing essential skills in schedule management, communication, and team organisation.
With exposure to both clients and the global Framestore team, the role offers a valuable platform for professional growth within the organisation. It’s an ideal starting point for those eager to embark on a trajectory towards more hands-on production or management responsibilities in the future.

Responsibilities include:

  • Efficiently manage the Head of Studio’s schedule and calendar, navigating changing priorities and demands for both internal and external meetings and appointments.
  • Prioritise and manage email communications, demonstrating strategic handling for effective follow-ups and information dissemination.
  • Coordinate travel-related requirements, including flights, ground travel, and accommodations, emphasising operational proficiency.
  • Provide general administrative support, including procurement processes, invoices, and expense management.
  • Collaborate with the Finance team to ensure the timely processing of invoices and expenses.
  • Work closely with the global marketing team on gathering and distributing marketing collateral, and organisation of external marketing events.
  • Proactively manage information flow, conduct research, and prepare summaries, presentations, and reports as needed.
  • Communicate effectively with individuals across all business levels internally and externally.
  • Maintain discretion and confidentiality in adherence to Framestore’s policies and procedures.
  • Implement and maintain office operations/administrative systems and procedures.
  • Organise and facilitate team meetings and events.
  • Build and nurture relationships with support staff in Framestore’s global offices.

Genuine interest in VFX, film production and working in the creative industry, with an aspiration to advance into a production role in the future

  • One year of calendar management experience
  • A friendly, approachable and professional interpersonal style
  • Proficiency with Google Workspace and Microsoft Tools particularly Office, Word, Excel and PowerPoint.
  • Exceptional written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information with professionalism
  • Strong attention to detail, ability and willingness to multi-task
  • Ability to thrive in a fast-paced environment, effectively managing multiple deadlines while striving to achieve specific targets and objectives.
  • Shows initiative and able to work well under pressure
