This role will support a number of members of our Global Executive Leadership Team, who are primarily based in Dublin and London. The role will require close collaboration with peer roles in Chicago and in other locations.
This permanent position will report to the VP HR .
Ensure the Leadership Team’s time is managed to the maximum level of effectiveness through superior diary management. Daily schedules; Travel; Monthly/Quarterly Reviews, Meetings; event planning and proactive preparation of activities
Manage all forms of transportation arrangements (Itineraries, flights, liaise with drivers, arrange visas, currency, hotel bookings, meeting arrangements)
Timely liaison and communication both within the organisation and outside communities
Utilise internal networks at all levels to provide the Leadership Team with information on key issues within the business.
Maintain (and present monthly) all records of expense, vacation days and time scheduling for members of the Leadership Team.
Responsible for the diary management and co-ordination of all activities ensuring the LT are well briefed and prepared including: Handling confidential information and sensitive issues in an entirely reliable manner and production and circulation of information Documents/presentations
Support the LT with scheduling and planning meetings and events; including preparation and collation of documents for meetings. Ensure all filing systems and bring forward systems are maintained. Follow up on behalf of the LT to ensure actions are completed and deadlines are met.
Other ad hoc responsibilities to assist including research and production of presentations and printing as required
Assist with stationery and food orders when required
The Skills you will bring to the team
Experience supporting at Senior Management level
Strong IT skills in Word, PowerPoint, Outlook, proficient in Excel, combined with strong desire to maintain these skills at a high level
Sensitivity to the ‘mood’ of the organisation to assist the effectiveness of the interaction of the LT with their teams and the broader business
Core competencies – Reliability combined with high personal standard
Ability to work in high pace environment and under pressure, flexibility to work out of normal hours to deliver high quality support
Integrity, trust in dealing with highly confidential information
Exceptional organisational skills, combined with ability to prioritise competing demands, maintain high quality standards and meet deadline on multiple projects / tasks
Strong organisational awareness and commitment to the companies values
Excellent interpersonal skills with the adaptability to change style and approach to suit audience
Ability to communicate clearly and well at all levels (written, spoken, including handling telephone) and sound numeracy skills
Must have a strong work ethic, stamina, highly motivated, bright, quick to learn and the ability to work at sustained pace
Must be flexible and approachable with a positive can-do attitude and ability to anticipate needs of others
Sensitive to culture, time zones and the needs of a global organisation
Good numerical skills
