Description:

  • Based in UniSA Online at the City West campus
  • Full-time (1.0FTE), fixed term contract until 31 December 2025
  • Commencement Salary: $76,304 per annum (plus 17% superannuation)

ESSENTIAL SKILLS AND EXPERIENCE

  • Highly developed office administration skills and experience in an administrative support role to a senior manager, work group or project team
  • Proven project management ability, incorporating scheduling, management of milestones and associated team communication
  • Demonstrated organisational ability and initiative including prioritising to meet tight deadlines and dealing successfully with competing demands in a pressured environment.
  • Problem solving, research and analytical skills and an ability to interpret and apply procedure
  • Highly developed oral and written communication skills including preparation of written materials

Responsibilities:

ABOUT THE ROLE

Reporting directly to the Manager: Academic and Executive Operations, you will provide operational and administrative support to the Executive Director: UniSA Online, the Executive Leadership team and the broader Unit. The position is responsible for establishing and/or maintaining administrative systems and processes and providing broad ranging administrative and project support to facilitate the smooth running of the Unit, demonstrating exceptional communication and customer service skills

CORE RESPONSIBILITIES

  • Undertake complex diary management for the Executive team which involves negotiating timelines and appointments with key internal and external stakeholders
  • Act as the first point of contact for the Executive Director and use judgement to independently assess, prioritise, direct or respond to queries
  • Coordinate meeting arrangements and provide support to various committees and working parties
  • Provide financial support such as coding invoices, requesting journal transfers and undertaking expense reconciliation (using the ProMaster tool)
  • Ensure timely communication and sharing of information within the Unit by drafting correspondence and staff announcement emails, establishing and maintaining an appropriate correspondence tracking system, and disseminating information on behalf of the Executive Director
