THE OPPORTUNITY

WSDOT is currently seeking a highly motivated, skilled professional to serve as the confidential Executive Assistant to the Director of Human Resources & Safety (OHR&S). Our top candidate will provide executive administrative support and is assigned responsibility to perform various administrative tasks, make decisions, take action on administrative issues for the Director and supervisor a fiscal analyst. This position directly affects the Director’s ability to manage and coordinate activities that accomplish the agency’s mission. The successful candidate must operate at the highest level of independence and requires an equally high level of judgement, ethical and professional behavior, and achievement of performance goals.

QUALIFICATIONS

To be considered for this opportunity, the following are required:

  • Five (5) years of progressively responsible administrative experience, including managing multiple calendars, capturing tasks, tracking to completion, and providing confidential support to managers so they are prepared for their daily commitments.
  • One (1) year of lead or supervisory experience.
  • One (1) year experience overseeing budget, purchasing, travel expenditures, or similar.
  • Strong human relation skills and demonstrated experience in working successfully with diverse groups.
  • The ability to maintain confidentiality on appropriate matters.
  • The ability to provide administrative support for multiple WMS Managers as direct

reports of the ORH&S Director.

It is preferred that qualified candidates also have:

  • Two (2) years of office management experience.
  • One (1) year web content management.
  • Experience supporting a manager in a mostly remote work environment.
  • Experience providing professional administrative support in public service, such as city, county, state, or federal agency, or education system.
  • Knowledge of Human Resources, and/or Safety terminology.
  • Certification in Organizational Change Management.

Responsibilities:

  • Perform administrative and clerical functions as delegated; keep the Director informed of urgent and important issues requiring review and/or action.
  • Serve as a liaison between Director of HR and Safety and the direct reporting staff to relay assignments to staff; assure that assigned due dates are met; inform staff of important issues as they arise; and follow up on correspondences assigned to staff for response.
  • Establish and maintain calendar of appointments and arrange travel for Director.
  • Coordinate HR Leadership meetings; Regional Managers meetings, division all-staff meetings; and other OHR&S related meetings as necessary.
  • Independently compose correspondence and communication both formal and informal to interdepartmental personnel, Human Resources and Safety staff and the public.
  • Receive and screen public, office visitors, telephones answering questions or referring to appropriate staff for response.
  • Review and prepare OHR&S fiscal year out-of-state travel budget and track trips taken for the agency report.
  • Monitor expenditure of funds and make recommendations to supervisor on budget changes request to balance budget.
  • Administer and coordinate legislative activities during legislative session.
  • Interact effectively with diverse groups of people and foster strong working relationships both internally and externally
