Irving Shipbuilding Inc. is seeking an Executive Assistant.
Supporting the Vice President, Supply Chain & Quality and Vice President, Planning and the broader Supply Chain and Planning functions, the Executive Assistant will be a highly attentive, detail-oriented professional with the demonstrated ability to effectively multi-task and manage multiple time-sensitive priorities and support the efficient operation of the team. The Executive Assistant will maintain the integrity and confidentiality of information passing through the Vice President’s office.
This is a permanent full-time role based in Halifax Regional Municipality, Nova Scotia. The primary language of work is English. QUALIFICATIONS:

  • Education: Post-secondary certificate or diploma in business administration or relevant field
  • Experience: 5-8 years of related experience required.
  • Well-developed skills using Microsoft Outlook, SharePoint, Visio, Word, Excel, and PowerPoint, with the ability to learn new software and programs quickly.
  • Experience in travel/event organization is an asset.
  • Strong attention to detail and organizational skills with a displayed sense of urgency.
  • Ability to work both independently and as a member of a high-performing team in an executive office setting.
    All successful applicants must meet requirements for Canadian Controlled Goods Program (CGP), Canadian Government Security clearance, and U.S. International Traffic in Arms Regulations (ITAR).

Responsibilities:

KEY RESPONSIBILITIES:

  • Provide administrative support to the VP, Supply Chain & Quality and VP, Planning and their immediate team including monitoring and responding to incoming communications, managing daily schedule, and coordinating the scheduling and execution of meetings.
  • Prepare communications for internal meetings and all hands/town hall meetings and issue departmental correspondence. Includes preparing and editing presentations.
  • Act as a primary point of contact between the VP and internal/external stakeholders. Manage, emails, calls and correspondence on behalf of the VP as required.
  • Arrange travel when required and track and report on expenses.
  • Collect departmental reports for review by the VP, Supply Chain & Quality and VP Planning
