About the role:
The role is dynamic and varied with the principal purpose of providing efficient, effective and professional support to our Energy Division SLT. This will include a broad range of tasks to facilitate the day-to-day running of the business and the longer-term strategic planning activities.
Key Duties & Responsibilities:
- Managing diaries, overseeing a complex calendar on a daily basis and resolving any scheduling issues.
- Supporting preparation, completion and follow-up of any meetings.
- Preparing Word, Excel, PowerPoint presentations, agendas, reports, and other documents in support of organizational objectives.
- Arranging travel including visas, ground transfers, accommodation and itineraries
- Expenses management and completion.
- Processing invoices and raising PO`s.
- Support in all administrative office duties.
- Taking minutes of meetings and ensuring actions are followed up.
- Screening incoming requests, taking and delivering accurate messages and responding to requests by gathering and providing information.
Who are we looking for?
You will need strong organisational skills and the ability to work to deadlines and prioritise tasks.
Able to effectively communicate with all levels of staff and also to work independently. Be an exceptional team player with the ability to communicate effectively and professionally, building rapport with people at all levels in a confident manner.
Strong business sense with the ability to decipher priorities and make sound judgment calls when needed and use own initiative.
Skills & Experience:
Previous experience working as an Executive Assistant or similar role.
Extensive experience in an administrative support function.
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
Experience in organising both domestic and international travel logistics.
The role is based in Aberdeen so you will need to live within a commutable distance as you will be expected to be in the office around 3 days per week.
