Our German Office is rapidly growing and therefore we are looking for an Executive Assistant (m/f/d) to join our Digital Technology Services (DTS) team in Munich or Frankfurt; someone who has demonstrated strong analytical and administrative skills, enjoys helping others, takes ownership of their work, is solution orientated and strives working with an ever-changing, international environment.
The right candidate (m/f/d) will have experience in dealing with busy professionals working across Europe with tight deadlines; being one step ahead of their teams needs and understanding the importance of building relationships with clients and their teams. The role requires someone who is personable, friendly, flexible and confident. You will be primarily responsible for supporting Managing Directors and the wider team.

ESSENTIAL REQUIREMENTS:

  • At least 5 years of working experience in a comparable position
  • High level of interpersonal skills to handle sensitive and confidential information
  • Experience working with senior clients
  • Excellent communication and interpersonal skills, with the ability to interact with all levels of the organisation (written and verbal)
  • Strong analytical and problem-solving skills, with the ability to adapt to a dynamic work environment
  • Ability to manage multiple priorities and deadlines effectively with excellent attention to detail
  • Proficient in advanced office software and technology
  • A good level of competency on MS office applications (Outlook, Excel, PowerPoint, Word)
  • The ability to understand financial/management data and give insights. Being able to navigate dashboards (Power BI) is a plus
  • Excellent oral and written communication skills, fluent in German and English

Responsibilities:

  • Support DTS Germany MDs to optimize their schedules, correspondence, and workflow

  • Facilitate internal communications, such as scheduling meetings and events, or distributing information across DTS Germany

  • Setting up projects
  • Processing of incoming invoices and raising client invoices
  • Preparing time and expense reports
  • Coordinating travel plans, hotels and car service
  • Handle general queries from your team regarding DTS related matters
  • Coordinate and organise events such as lunches, meetings, and team socials
  • Act as a support to HR in onboarding, and act as first point of contact for new joiners
  • Prepare statistical and written reports and presentations

  • Build and cultivate strong relationships with key clients and stakeholders (both internal and external)

Support with capturing, tracking and updating opportunities using the CRM tool (Salesforce) and preparing regular updates in strategic management meetings

  • Manage high-level client communication and visits
  • Organise and participate in business development activities
  • Develop and implement strategies to enhance client satisfaction
  • Proactively anticipate needs and provide solutions before they arise
