We are seeking an experienced and proactive Executive Assistant to provide high-level support to our Group Managing Director and Chief Strategy Officer. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks with efficiency and professionalism. As the Executive Assistant, you will play a crucial role in facilitating smooth communication, managing schedules, and handling various administrative tasks.

  • Manage calendars, appointments, and meeting schedules for the MD and CSO actively helping them be aware of and meet deadlines.
  • Coordinate travel arrangements, including flights, accommodations, and transportation using our IPG travel system.
  • Prepare and edit correspondence, presentations, and reports as needed.
  • Arranging meetings, organising hospitality, and greeting clients
  • Handle confidential information with discretion and maintain strict confidentiality.
  • Assist with special projects, events, and other ad hoc assignments as required.
  • Prioritise and manage incoming communications, including emails.
  • Anticipate the needs of the MD and CSO and proactively address them.
  • Inputting timesheets on a weekly basis.
  • Process expense and mileage claims.
  • Collaborate with the office manager to ensure smooth operations and support company initiatives.
  • Foster a deep understanding of the people, personalities, and current affairs of the agency.
  • Provide a sounding board for the cultural impact of business decisions.

PERSONAL SKILLS & EXPERIENCE

  • Proven experience as an Executive Assistant or similar role, preferably in a fast-paced environment
  • Excellent communication and interpersonal skills
  • Strong organisational skills and attention to detail
  • Open and friendly personality
  • Ability to deal with clients and colleagues at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to multitask and prioritize tasks effectively.
  • Discretion and trustworthiness when handling confidential information.
  • Adaptability and willingness to take on new challenges.
  • Previous experience in the advertising or marketing industry is a plus.
  • Ability to manage and process basic data (charting and pivot tables in Excel) is a plus.
