Opportunity: The Executive Assistant manages the day-to-day administrative and time management activities for both the President and Chief Financial Officer. This includes calendar management, meeting preparation, social media presence, administrative policies and procedures, general office administration, document preparation, communications support, and other professional support.

COMPETENCIES & QUALIFICATIONS:

  • A minimum of 3 years’ experience as an executive assistant is preferred
  • Business administration diploma, certificate or related field is preferred
  • Digitally proficient with strong computer skills including proficiency in MS Office and various Social Media platforms
  • Experience using an expense management system and general accounting, or bookkeeping skills is an asset
  • Experience coordinating travel for executives
  • Strong communication, writing, and presentation skills
  • Takes pride in project ownership and meeting timelines and responding to requests
  • Ability to travel locally, as needed with a valid driver’s licence and clean abstract
  • Critical thinking, detail oriented, and sound decision-making skills
  • Strong respect for and adherence to confidentiality
  • The company may request a criminal background check and or bonding
    Flexibility is also required as this position occasionally requires travel, early starts, late finishes and on rare occasions weekend work. This is an in-office role, but occasional remote work is acceptable when approved.

Responsibilities:

  • Acting as main point of contact for both the President and CFO on daily support needs
  • Preparing reports, presentations, communications for the Executive
  • Working closely with Executive and Leadership team and supporting operational needs
  • Proactively ensuring the needs of the Executive are identified and providing timely support with information, documents, research, and completed projects
  • Developing and maintaining a well-organized filing system(s)
  • Scheduling meetings, coordinating business planning sessions, managing meeting materials, taking minutes, and coordinating Executive calendars
  • Anticipating needs based on an understanding of the Executive
  • Coordinating travel, hotel arrangements, expense reporting, meetings
  • Assisting Executive with special projects
