  • Tertiary qualification in business administration or relevant field.
  • Proven experience within a Business Support or Project Admin role within a professional services environment.
  • Proven experience in providing administrative support to board committees would be desirable.
  • Demonstrated and proficient knowledge of entire MS Office suite.
  • Demonstrated ability to self-manage and prioritise workloads with good project management skills, including initiative, problem-solving, and meeting objectives. Possesses the ability to be proactive in seeking out answers or further advice where required.
  • Creates rapport to build constructive relationships in both formal and informal settings with colleagues, as well as internal and external contacts.
  • Communicates clearly, concisely, and accurately in all verbal and written communications, using appropriate business language.

Responsibilities:

THE ROLE

Based in our Sydney CBD Office, the purpose of this role is to provide dedicated and strategic administrative support to the Structural Division Manager viewing the association of Executive Assistant and the Division Manager as a long-term collaborative partnership. You will also be supporting other key stakeholders from the Structural Division including but not limited to the Divisional Leadership Team (DLT). This role is essential in ensuring the Division Manager is informed, punctual, and empowered to deliver strategic objectives with limited disruptions. The nature of this role is to be a connecter, bringing together the critical elements of our business and ultimately supporting its success.
This role acts as a central contact point for information and communication within the Structural Leadership Team. This role encompasses operational responsibilities as well as the facilitation of open communication and distribution of information within the business.

DAY TO DAY RESPONSIBILITIES INCLUDE:

  • Coordinate with DLT and Structural Section Managers to plan and map out requirements of implementing the strategic initiatives every quarter in conjunction with the National Leadership Team and Consulting Leadership Team.
  • Coordinate and manage all travel arrangements for the Structural Division Manager in a timely manner.
  • Arrange meetings, including booking rooms, catering, tele/video conference facilities on behalf of Structural Division Manager.
  • Email management, including drafting emails on behalf of the Structural Division Manager and ad hoc for other key stakeholders.
  • Draft correspondence for the Structural Division Manager and send on their behalf where appropriate
  • Work collaboratively with Structural Division Manager to prepare documents including but not limited to; One-pagers, Reports, Presentations, Business Cases.
  • Create and circulate agendas and any required pre work for management meetings.
  • Communicate accountabilities following management meetings and ensure activities are understood and actioned.
  • In consultation with Executive Leadership Team and other EA’s develop the corporate calendar at least 12 months in advance.
  • Electronic document filing including servers, SharePoint, Teams and company intranet.
