What You’ll Do:
We are currently hiring an Executive Assistant to provide high level support to the Global Vice President, Operations by managing projects, coordinating events and meetings, booking travel and managing expenses. As a key support role, the Executive Assistant will work cross-functionally behind the scenes at all levels and play an integral role in supporting the Operations team.

Specific responsibilities include, but are not limited to:

  • Supports the Vice President by owning all administrative tasks, including but not limited to calendar management, expense reports, composing or preparing correspondence and presentation materials, arranging international and domestic travel, department invoicing, and coordinating onsite/offsite meetings across multiple time zones
  • Disseminates information and communicates ideas on behalf of the Vice President
  • Proactively improves current processes and optimizes organizational procedures for efficiency and productivity
  • Proactively anticipates and tracks critical dates, events, and associated milestones or deadlines
  • Coordinates, manages and executes various ad-hoc projects and meetings across multiple time zones
  • Develops and maintains a solid working relationship with the Executive Assistant to the CEO & President and HQ receptionist and provides administrative backup to other departments as needed

What We’re Looking For :
This role requires a bachelor’s degree in a related field plus a minimum of 5 years of experience in a project management or administrative role. Additional experience may be considered in lieu of a degree.

  • Strong project management skills and ability to present work to executive stakeholders
  • Experience with budget management
