The COO is a very down to earth executive who needs help organizing their time and being a gatekeeper to the influx of calls and emails he receives daily. Responsibilities

  • Proactive calendar management - schedule calls and meetings (adjusting for conflicts as

they arise), respond to staff and external requests for meetings.

  • Inbox management – be able to cut through the large volume of messages in the COO’s

inbox to help the COO work efficiently. Filter out what is not a top priority, respond on

behalf of the COO to questions, or forward as needed.

  • Serve as a gatekeeper of the COO’s time, schedule, and information while maintaining a

courteous manner. Anticipate potential schedule conflicts and proactively deal with them
before they become issues. Follow-up on projects/tasks from the COO to other members of
staff. Must be able to maintain complete confidentiality regarding details of schedules and

related information.

  • Work collaboratively with the EA for the CEO and the Chief of Staff to ensure support for

the full executive suite.

  • Manage and arrange travel as needed including air, rail, or car services.
  • Organize both in-house or off-site meetings including all logistics as needed including but

not limited to catering, AV/teleconference, travel, materials, etc.
