Description:

EXECUTIVE ASSISTANT

REV Capital is looking for an Executive Assistant to join our growing team! The Executive Assistant will provide high-level administrative support to the CFO, ensuring smooth communication and information flow. Acting as the CFO’s first point of contact, the Executive Assistant will coordinate with internal and external stakeholders to facilitate seamless operations and support various projects.

QUALIFICATIONS:

  • A University or College degree is required
  • Minimum of 2 years of experience as an Executive Assistant or similar role supporting C-level executives
  • Proficiency in Microsoft Excel and the Microsoft Office Suite (Word, PowerPoint, Outlook)
  • Strong organizational and time management skills, with the ability to manage multiple tasks and priorities efficiently
  • Excellent interpersonal and communication skills, with a professional demeanor and the ability to interact effectively with internal and external stakeholders
  • Ability to handle sensitive and confidential information with the utmost discretion and integrity
  • Strong problem-solving skills and the ability to think proactively and independently
  • PMP certification and experience with Jira are considered assets
  • Bilingual proficiency in Russian and English required

Responsibilities:

  • Provide executive-level administrative support to the CFO, including managing calendars, scheduling appointments, and coordinating meetings.
  • Act as the first point of contact for the CFO, handling all communications efficiently and professionally, and ensuring smooth information flow.
  • Support the CFO in various operational projects, including tracking progress, coordinating resources, and ensuring timely completion.
  • Produce, edit, and distribute documents, reports, presentations, and meeting minutes as required, ensuring accuracy and confidentiality.
  • Organize and prepare materials for committees, board meetings, and other important gatherings, capturing and distributing meeting notes promptly.
  • Handle sensitive and confidential information with utmost discretion, maintaining the confidentiality of company and client information.
  • Respond to confidential, complex, and routine inquiries using tact, sensitivity, and advanced problem-solving skills.
  • Perform clerical tasks such as filing, photocopying, transcribing, and faxing, ensuring all administrative processes run smoothly.
  • Arrange travel itineraries, accommodations, and logistics for the CFO and other key team members as needed.
  • Assist with ad hoc projects and tasks as needed.
