Description:

We are offering a position in the Financial Services industry based in Minneapolis, Minnesota, for an Executive Assistant. The role involves providing high-level administrative support to a team, with a focus on managing calendars and coordinating meetings. This is a contract employment opportunity.

Responsibilities:

  • Provide administrative support to two managing directors, a VP, and an associate
  • Manage and coordinate busy calendars for team members
  • Assist with the planning and organization of team meetings
  • Liaise with a third-party provider for expense management
  • Act as a point of contact for the team, providing assistance and answering queries as needed
  • Contribute to team projects and initiatives, demonstrating a proactive and collaborative approach
  • Handle travel arrangements, both domestic and international
  • Use Microsoft Office Suite, including Excel and Outlook, to carry out tasks and manage information
  • Utilize CRM and Concur for customer relationship management and travel arrangements respectively
  • Maintain and manage all documentation and correspondence related to the role.
  • Minimum of 5 years experience as an Executive Assistant within the Financial Services industry
  • Proficient in Microsoft Office Suites, including Microsoft Excel and Microsoft Outlook
  • Expertise in CRM systems for efficient customer relationship management
  • Experience with Concur for managing travel arrangements
  • Strong skills in Calendar Management for scheduling appointments and meetings
  • Proficient in handling Correspondence with clients and other stakeholders
  • Experience in Documentation, including drafting, editing and proofreading
  • Previous experience in supporting C-Suite executives
  • Expertise in managing International Travel arrangements, including booking flights, hotels, and transportation
  • Experience with Concur Travel for managing and tracking travel expenses
  • Strong organizational skills to manage multiple tasks and deadlines effectively
  • Excellent communication skills, both verbal and written, for effective interaction with internal and external stakeholders
  • Ability to work independently and as part of a team
  • Strong problem-solving skills and ability to adapt to changing priorities
  • High level of discretion and confidentiality due to the sensitive nature of the role.
