DOCOsoft, a leading software and services provider to Lloyd’s of London and the broader London insurance market, is seeking a skilled and talented Executive Assistant to join us, dedicated to delivering unwavering administrative support to the CEO The chosen candidate will exhibit a remarkable ability to foresee the requirements of the CEO, ensuring project focus by proactively addressing operational and administrative challenges. This role will represent the office of the CEO; therefore, a high level of professionalism, confidentiality and discretion is required, particularly when handling sensitive information and interacting with the members of the leadership team and clients.

Responsibilities:

Executive Support:

  • Act as a primary point of contact between the CEO and internal/external stakeholders
  • Manage the CEO’s calendar, schedule appointments, and coordinate meetings, ensuring efficient use of time.
  • On behalf of the CEO prepare and organize materials for executive meetings, ensuring the CEO is well-prepared and briefed.
  • Anticipate scheduling conflicts and proactively address them.

Communication Management:

  • Draft and edit emails, reports, presentations, and other documents on behalf of the CEO and CMT, maintaining a high level of professionalism and discretion.
  • Manage incoming communications and prioritise as appropriate.

Travel and Event Management:

  • Arrange domestic and international travel itineraries, including flights, accommodation, and misc. transportation.
  • Prepare travel agendas and ensure the CEO is well-prepared for all engagements.
  • Prepare detailed travel briefs
  • Plan and coordinate high-level events, both internal and external, on behalf of the CEO.

Administrative and Project Support:

  • Perform general administrative tasks, such as filing, data entry, and office organization.
  • Handle expense reports and reimbursement processes for the CEO.
  • Support the CEO/CMT with various projects: Including but not limited to conducting research, gathering data, and providing insightful analysis.
  • Ensure all tasks are completed punctually and to the highest standards.

The successful candidate must have:

  • Previous experience as an Executive Assistant or a similar role supporting C suite
  • Exceptional organisational, planning and multitasking skills.
  • Experience in complex travel and event planning.
  • Strong written and verbal communication skills, with a keen eye for detail.
  • High level of proficiency in Microsoft Office suite and other relevant software.
  • Ability to maintain high levels of confidentiality and exercise discretion at all times.
  • A strong sense of business nous.
  • A full, clean driver’s licence & own vehicle.
