PREFERRED SKILLS AND EXPERIENCE

  • minimum 3 years’ experience supporting executives
  • prior experience in administrative function only
  • strong proficiency in Microsoft Office
  • real estate industry not essential however working within professional services and or property/customer centric environments highly regarded

Responsibilities:

POSITION RESPONSIBILITIES

  • coordinating inbound and outbound correspondence in a professional and timely manner, including answering Director’s phone when required
  • providing quality and timely administrative support
  • maintaining notes and action registers from meetings and conversations for follow up
  • preparing a comparative market analysis, submissions, reports, and pre-list kits on a daily basis
  • assisting with open homes, final inspections, photo shoots, and settlement day keys and gift exchanges as needed
  • liaising with external vendors such as photographers, videographers, printers, stylists, conveyancers and trades where required
  • preparing auction scripts, auction day packs and open home boxes
  • tracking and reporting on data for sales and listings
  • maintaining accuracy of listings and related sales documentation
  • communicating with vendors on offers, price changes, open days and referrals
  • maintaining communication with buyers on new listings, open houses, auctions, and offers
  • delegating tasks to Virtual Assistant, Campaign Manager, Team Manager or Sales Administrator where needed
  • running weekly team meetings, and daily huddles to maintain accountabilities and task tracking
  • assisting with social media tasks
  • finding opportunities for community engagement through sponsorship and charity auctions
  • arranging catering for meetings, auction days, or for your leader, as required
  • maintaining and sourcing office supplies and team needs
