Responsibilities:

  • Manage the CEO’s calendar meticulously, ensuring efficient time use and prioritization of engagements and activities.
  • Serve as the liaison and focal point for admin and calendar activities concerning Board meetings and chairmanship meetings and ensure seamless coordination of Board meetings (including upload of board material etc.), Board events and trips as well as related travel arrangements and coordination.
  • Undertake a wide range of administrative support to the CEO, including project assistance, document creation, meeting preparation, correspondence drafting, contact list management, travel arrangements, and expense report completion.
  • Act as the primary contact for the CEO, fielding inquiries from both internal and external stakeholders, handling matters of confidentiality and critical importance with full discretion.
  • Work in close collaboration with the CEO, providing timely updates on schedules and responsibilities and ensuring effective follow-ups.
  • Proactively prepare for the CEO’s meetings, events, visits, and conferences, anticipating needs and orchestrating necessary details.
  • Maintain a consistent availability to the CEO during business hours, ensuring open lines of communication.
  • Coordinate the CEO’s outreach and travel activities and nurture ongoing relationships stemming from the CEO’s contacts and stakeholders.
  • Draft and refine communications to external stakeholders, contributing to the Foundation’s outreach and reputation.
  • Accompany the CEO to meetings and events as required, ensuring they are thoroughly prepared and supported.
