The Executive Assistant is responsible for providing administrative support to our Executive Leaders. To be successful in this role, you’ll need to be exceedingly well organized, and handle a range of sophisticated assignments requiring the use of experience, innovation, and judgment while working closely with the executive and their sources!

Day in the Life:
As the Executive Assistant to the CIO, you are also supporting the IT organization and the 8 Directors within the organization. A typical day begins with reviewing emails and prioritizing tasks. You will regularly prepare meeting agendas and materials, create weekly status reports, process expense reports and purchase orders using Oracle, and record meeting minutes. Throughout the day, you assist with project-related tasks with great attention to detail, data monitoring, and communication across various levels of the organization. Managing the VP’s calendar including travel, compiling weekly status reports, and processing financial transactions are key responsibilities. You organize logistics for events, compose professional communications, and manage the CIO’s social media account. Remember, an Executive Assistant’s day is dynamic and often involves juggling multiple tasks while maintaining professionalism and confidentiality.

Responsibilities/Expectations:

  • Provides administrative and clerical support for one or more persons, including work of a confidential nature
  • Responds to inquiries from our internal and external business partners
  • Assists in the technical and functional services of the department by providing support on projects, invoice management, preparing documents for approval, preparing presentations, monitoring data, reporting
  • Maintains cost center data and analysis
  • Assists with the preparation of budgets and forecasts
  • Supervises work of personnel on assigned projects
  • Mentors others
  • Other duties as assigned

Education/Years of Experience:

  • Required: High school diploma or GED; a minimum five (5) years’ experience supporting executive management
  • Preferred: Bachelor’s degree

Other Requirements:

  • Handling confidential matters, such as sensitive documents and personnel issues
  • Present data and insights in a clear and concise manner.
  • Clear and concise communication across all levels of the organization
  • Leverage sophisticated skills in Microsoft Office, Teams, and SharePoint
  • Arrange travel, including flights, accommodations/reservations, and ground transportation for the leadership team
  • Demonstrates excellent organizational/interpersonal skills and safety as the utmost priority
  • Excellent time management skills, including the coordination of executive meetings, calendars and travel
