JOB SUMMARY
We are looking for an Executive Assistant to the Finance Director to join our Finance Office at House of Lords. You will be responsible for supporting the Finance Director (FD) in the efficient and effective execution of their role as Head of Office and as a member of the Lords Management Board and Senior Leadership Team.
This is an opportunity to work on a hybrid basis where you may be able to work up to 2 days from home and 3 days onsite at Parliament! This is an exciting opportunity for someone with previous experience of supporting a Senior Leader in an executive capacity and who enjoys working in a varied role within a fast-paced and dynamic working environment.
JOB DESCRIPTION
You’ll be accountable for –
- Triaging of the FD’s inbox, assigning to the senior leadership team where appropriate, keeping track of responses for clearance by the FD.
- Timely preparation of Boards and Committees meetings papers including concise briefing notes highlighting key points
- Drafting papers for Executive Boards, Committees, and other Governance bodies
- Drafting high quality and clear responses for the FD seeking input from the wider teams as appropriate.
- Undertaking independent research and analysis when required to support in drafting responses and papers.
- Support the House of Lords Annual Financial Planning round, and Joint Medium Term Investment Planning round.
- Provide support to the FD senior leadership team, coordinating meetings, tracking and ensuring actions are completed.
- Managing the FD Personal Assistant and Office Manager. This includes delegating, coaching, supporting and prioritising the PA’s work that includes managing the Finance Director’s diary and office manager duties.

- Strong oral and written communication skills, with the ability to concisely relay information in a clear manner and provide advice.

- Strong attention to detail and digitally confident
- Experience identifying and resolving problems independently and proactively, as well as designing and improving administrative processes.
