Description:
Valeo is in search of a driven, service-oriented Executive Assistant to support the complex administrative needs of one of our senior executives. This role will be responsible for delivering a high touch support model by anticipating needs, establishing seamless processes for core executive support tasks, (e.g. scheduling, travel, communications, and reports) and serving as a true “Chief of Staff.” The ideal individual will have the ability to exercise good judgment in a variety of situations, possesses strong written and verbal communication skills, adapts quickly to new technology, and can maintain a realistic balance among multiple priorities.
QUALIFICATIONS:
- 3+ years’ experience providing executive-level administrative support or an equivalent blend of experience.
- Bachelor’s degree strongly preferred, but candidates with at least some higher education experience will be considered if all other qualifications are met.
- Highly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and related technology. Prior CRM experience a plus.
- Discrete and possesses an extremely high attention to detail when dealing with sensitive and confidential corporate and client information.
- Very strong interpersonal skills and the ability to build relationships with key stakeholders.
- Excellent time management, organization, and problem-solving skills.

Responsibilities:
- Serve as the “Chief of Staff” for assigned executive(s) by partnering with them to help efficiently navigate professional and personal obligations. May provide ancillary support to the overall team when needed to ensure effective daily operations.
- Screen all incoming messages and other correspondence and route accordingly.
- Manage calendars and coordinate meetings for internal events, seminars, etc.
- Assist with expense tracking and related monthly reconciliations.
- Assist with travel arrangements as needed.
- Assist with the creation and distribution of various communication pieces such as company newsletters, announcements, and slide decks.
- Support the coordination of ongoing projects such as communicating with key stakeholders, tracking progress, and reporting results.
- Facilitate internal communication to ensure prompt and efficient decisions can be made on key initiatives and that all deadlines are met.
- Develop and closely follow appropriate standard operating procedures to ensure compliance with applicable regulatory requirement and corporate quality standards.
- Manage complex office administrative work requiring the use of independent judgment and initiative.
- Other duties as assigned.
