Description:

The Executive Assistant will provide high-level administrative support to the Executive and other Executive Team members. The Executive Assistant should be highly organized, proactive, and resourceful to support our leadership team. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and is passionate about contributing to the success of a growing company. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. This role offers the opportunity to work closely with senior leadership, drive key initiatives, and make a significant impact.

REQUIREMENTS:

  • Bachelor’s degree or equivalent experience
  • 5+ years of related experience supporting C-Level executives
  • Advanced proficiency in Microsoft Office (Outlook, Excel, PowerPoint and Word)
  • Ability to communicate effectively and professionally
  • Flexible hours as dictated by business needs

Responsibilities:

  • Provide comprehensive administrative support to the Executive, including managing calendars, scheduling meetings, and organizing travel arrangements
  • Act as a liaison between the Executive and internal/external stakeholders, demonstrating professionalism and discretion in all interactions
  • Prepare and edit correspondence, presentations, and reports on behalf of the Executive, ensuring accuracy and attention to detail
  • Manage sensitive matters with a high level of confidentiality and discretion
  • Sustain a daily calendar of meetings and events; organize complex calendars and schedules, resolving any scheduling issues
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization
  • Arrange travel and accommodations for executive team members
  • Prepare and manage expense reports
  • Draft and prepare correspondence for internal announcements, board meetings and executive communications
  • Facilitate communication flow within the executive team and across departments, ensuring alignment on priorities and deadlines
  • CoOrdinate leadership meetings, compile agendas, and capture meeting minutes, following up on action items as needed
  • Assist in preparing and managing presentations and decks
  • Be responsive to emails/texts/phone calls with contact outside normal business hours
  • Use discretion, confidentiality and good judgement to handle C-Level matters
  • Excellent communication and time management skills; proven ability to meet deadlines
  • Represent the company in a positive light through great follow-through skills and sound judgement
  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives
  • Take ownership of special projects and initiatives as assigned, overseeing timelines, coordinating resources, and driving execution to completion
