Responsibilities:

Day to day responsibilities will include:

  • Diary management, including coordination of all meetings/conferences and preparation of agendas, documents and presentation material.
  • Coordination of leadership team key meetings, including the preparation of agendas and presentation material as required.
  • Coordination of team events, functions, training and conferences including distribution of invitations, collating replies, liaising with venue and catering staff etc.
  • Initiate and coordinate staff movements (including documentation technology set-ups, security access and stakeholder liaison for new entrants, transfers, separations and desk moves.
  • Collation of documents/packs to support meetings on a daily basis.
  • Managing and coordinating annual leave plans across teams and job families.
  • Act as the primary point of contact for all other administrative roles within private wealth and with other major stakeholders

In order to be successful in the role you will be able to demonstrate:

  • Prior experience in an Executive Assistant role supporting senior/executive leaders (ideally from financial services background)
  • Exemplary Office 365 (Word, PowerPoint, Excel and OneNote)
  • Excellent communication skills
  • Ability to self-manage, work autonomously and with the ability to make decisions
  • Strong planning and organisational skills and the ability to manage multiple tasks at any given time
  • A working style that is team oriented and flexibl
