Here at Xometry, we are a rapidly-growing company looking to bring on an Executive Assistant to focus on helping the Executive leadership team succeed by being able to proactively manage important relationships, tasks, and schedules in a meaningful way. In order to be successful in this role, one must be highly communicative, self-confident and self-sufficient, have a keen attention to detail, and be skilled at scheduling and prioritization. The ideal candidate will need to possess an undeniable level of trust and confidentiality due to the nature of this role.

What You’ll Do:

  • Maintain and update calendars in a fast-paced environment with many competing priorities including fielding all incoming scheduling requests, prioritizing meetings, communicating with all parties, and ensuring that meetings are set up for success.
  • Create follow-up emails to confirm appointments and alert executives of any conflicts.
  • Book travel and accommodations for executives and/or team members.
  • Prioritize different types of tasks and meet deadlines.
  • Consistently stay up to date on task management and communicate effectively regarding what is most important.
  • Perform various internet-based and business prospect research projects.
  • Create email drafts and responses based on unique style and tone.
  • Manage expenses in Expensify for 5+ executives.
  • Provide backup to other teams in areas such as customer service, operations, marketing and sales.
  • Assist the facilities team with office tasks, conference room booking, receiving visitors, catering, and office/team events.
  • Manage corporate social responsibility initiatives.
  • Prepare reports and presentations for various audiences and stakeholders.
  • Be proactive and perform other ad hoc tasks and projects assigned by the manager and executives.

Qualifications:

  • At least 2 years of experience as an executive assistant in a corporate environment.
  • Experience supporting multiple executives at a time.
  • Experience working in a fast-paced environment, eager to advance skills and knowledge, and have done a fair share of self-teaching.
  • Ability to adapt quickly based on the needs of the company or executive, and have a strong commitment to growth through learning new things.
  • Ability to be proactive in taking on assignments and solving needs of the executives.
  • Possess problem solving skills to quickly find solutions to challenges as they arise.
  • Experience working across multiple computer software systems and technologies such as Google Suite, Microsoft Suite, Zoom, Slack, Looker.
  • Bachelor’s Degree is preferred.
