Responsibilities:

WHAT YOU WILL DO:

We are currently seeking an energetic and motivatedcandidate to join our JAM team as an Executive Coordinator to our Senior Executive Team. The Executive Coordinator (EC) is a new position at Exertis | JAM that is important to the company’s growth; The EA will assist the Senior Executive Team by handling tasks and effectively managing their schedule to propel the company towards success.

RESPONSIBILITIES:

  • Work directly with the Senior Executive Team to support all aspects of their daily work routine.
  • Draft, review and send communications on behalf of the Senior Executive Team
  • Maintain the team’s calendar, including scheduling meetings, appointments, speaking engagements, and travel arrangements.
  • Take care of scheduling and organizing the Executive Team’s trips and travels.
  • Organize and prepare for meetings, including collection and creation of documents/support and participation in meeting logistics.
  • Plan/Organize special events such as townhalls and training seminars, including content creation, preparing a presentation, sending out communications, etc.
  • Organize company-wide meetings, larger group meetings, catering, supplies, and other vendor management and day-to-day office issues.
  • Prepare, reconcile, and submit expense reports.
  • Prepare and draft letters in both English and French.
  • Answer phone calls, communicate messages and information to our Senior Executive Team.
  • Complete a variety of special projects including creating presentations, various spreadsheets, special reports, and agenda material.
  • Conduct business with other colleagues or external vendors on behalf of the Senior Executive Team
  • Act as the gatekeeper, by filtering phone calls, emails, or in-person meetings.
  • Maintain confidential and sensitive information.
  • Maintain various records and documents for our Senior Executive Team.
