Boeing Defense, Space & Security is currently seeking an Executive Office Administrator to join their Manufacturing organization in San Antonio, TX.
Our team is open for a broad range of experience levels including Senior or Lead Administrators.
The ideal candidate will be proactive, demonstrate a robust attention to detail and an ability to adjust priorities efficiently and effectively. They will also have the ability to quickly familiarize themselves at a high level with new issue areas as well as the ability to shift from supporting work in one issue to the next.

BASIC QUALIFICATIONS (REQUIRED SKILL/EXPERIENCE):

  • 3+ years of experience providing administrative support to multiple customers such as executives, managers, and staff members
  • 3+ years of experience managing executive schedules and calendars using Microsoft Outlook
  • 3+ years of experience working with including Outlook, Excel, Word, PowerPoint, SharePoint, and Lync
  • Experience coordinating and processing business travel arrangements; generating expense reports for business travel and reconciling corporate credit card charges to ensure timely and accurate reimbursement

PREFERRED QUALIFICATIONS (DESIRED SKILLS/EXPERIENCE):

  • 5 or more years’ related work experience or equivalent combination of education and experience
  • 3+ years of experience in partnering with executives to develop and manage the operating rhythm/cadence for executive leadership teams
  • 3+ years of experience collecting, interpreting data, and managing high level projects for Executives or Senior Leadership
  • 3+ years of experience managing and organizing multiple deliverables and deadlines with minimal direction

EXPERIENCED (LEVEL C)

Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 4 or more years’ related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+2 years’ related work, Bachelor, etc.).

Responsibilities:

  • Coordinate and process business travel arrangements, monitor designated business traveler’s logistics, generate expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verify payments to corporate credit cards
  • Create, edit and maintain electronic and written communication such as memos, reports, presentations, flow charts and organization charts utilizing Microsoft Word, PowerPoint, Excel, Outlook, and SharePoint
  • Track and maintain information relative to business operations
  • Communicate a wide variety of information to multiple audiences
  • Process incoming and outgoing communication and correspondence to ensure proper dissemination of information
  • Prioritize and schedule executive and senior leaders’ time and availability for efficient use of time
  • Track and maintain designated conference room schedules for availability and efficient use of resources
  • Coordinate with the appropriate focal(s) to support the acquisition and maintenance of resources
  • Order and maintain office supplies
  • Plan and implement logistics for executive level internal and external events
  • Set up and facilitate Microsoft Teams and teleconferences
  • Track and maintain information relative to business operations
  • Collect and compile data such as training completions, business expenses, action items and other matters requiring follow-up and provide visibility of status with management direction
  • Work as part of a team of office administrators and other business support employees to ensure effective and efficient support is provide across the site
  • Analyze and initiate continuous improvements of administrative processes and procedures
  • Provide guidance for less experienced employees
  • Work under limited supervision
