Description:
TO ACHIEVE THIS, THE SUCCESSFUL CANDIDATE WILL:
- Deliver high quality and confidential support to the Ombudsman, including managing the internal and external information flow, operating rhythm, diary management of meetings and appointments, prioritising activities and ensuring optimal time management and communication.
- Manage and deliver secretariat services to the Executive Management Group (EMG), Advisory Council to the Energy and Water Ombudsman (Advisory Council) and Audit and Risk Management Committee and their associated sub-committees including generating agendas, meeting papers, minute taking, follow-up of action items and preparing a range of correspondence.
- Organise internal and external meetings and events, seminars/conferences, including accommodation and flights, booking rooms, equipment, catering and organising appropriate meeting support (room set-up, pack down).
- Draft and prepare a range of internal and external written documentation including confidential correspondence, agendas, reports, briefing papers, publications and presentations.
- Using discretion, autonomously respond to or redirect matters on behalf of the Ombudsman.
- Support the Ombudsman through quality analysis of reports and advice with respect to the operational responsibilities of the team.
- Perform a range of human resource, finance, routine governance, project support and administrative services.
- Administer and coordinate our process mapping system, Promapp, collaborating across EWOQ to monitor the system, provide reports and record and review processes.
- Coordinate the maintenance of the EWOQ risk register and EWOQ Business Continuity Plan, identifying and assessing current and emergent risks in consultation with the General Manager-Strategy, Operations and Governance.
- Provide accurate advice to EMG, Advisory Council members and internal and external stakeholders on a range of topics relating to whole-of-government, EWOQ and the Ombudsman.
- Undertake special projects and short-term research tasks including, monitoring the progress on various projects, action items, issues and timelines to support the Ombudsman and Executive Management Group.
- Continuously review and evaluate administrative and reporting systems and recommend improvements to increase their efficiency and effectiveness.
