The company is seeking to hire an Executive Secretary to report to the Regional General Manager.
JOB SUMMARY:
The Executive Secretary plays a crucial role in providing comprehensive administrative and secretarial support to the Regional General Manager. This position requires excellent organizational skills, proficiency in various office software, and the ability to handle confidential information with utmost discretion. Additionally, the Executive Secretary will assist with HR administrative tasks, ensuring smooth operations and compliance with company policies and regulations.
QUALIFICATIONS AND REQUIREMENTS:
- Bachelor’s degree or Diploma
- Minimum of 3 years of experience in an administrative or secretarial role.
- Excellent organizational and multitasking abilities, with a keen eye for detail.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
- Strong interpersonal and communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Demonstrated problem-solving and decision-making capabilities.
Responsibilities:
KEY RESPONSIBILITIES:
Secretarial Duties:
- Manage the Regional General Manager’s calendar, scheduling appointments, meetings, and travel arrangements.
- Prepare presentation materials, reports, and other documents as required.
- Handle incoming and outgoing correspondence, including emails, letters, and memos.
- Coordinate and make logistical arrangements for meetings, conferences, and events.
- Maintain accurate and up-to-date filing systems, both electronic and physical.
HR Administrative Support :
- Assist in the recruitment process, including posting job advertisements, scheduling interviews, and conducting initial screenings.
- Maintain accurate employee records, including personal information, performance evaluations, and attendance records.
- Assist with the administration of employee benefits and compensation programs.
- Provide support in organizing training and development programs for employees.
GENERAL RESPONSIBILITIES:
- Act as the primary point of contact for the Regional General Manager, managing inquiries and requests effectively.
- Maintain a high level of professionalism, confidentiality, and discretion when dealing with sensitive information.
- Continuously improve knowledge of office procedures, software, and HR best practices.Perform other duties as assigned by the Regional General Manager.
