Description:
KEY ACCOUNTABILITIES INCLUDE:
- Provide professional, proficient and confidential executive and administrative support to the Senior Director, Health Promotion and other Directors as required in a complex, fast-paced, high-pressured and sensitive working environment.
- Manage and support the daily activities of the Senior Director through efficient diary management, prioritisation of meetings, emails and phone calls, and the accurate provision of associated meeting materials, while driving optimal usage of the Senior Director’s time.
- Work in conjunction with the Executive Officer and Senior Executive Support Officers of the Chief Executive, the Deputy Chief Executive Officer, and the Chief Operating Officer to support the flow of information and coordination of the HWQld leadership team.
- Perform secretariat duties or administrative support for meetings / committees as needed, such as preparing agendas, recording meetings, managing, and coordinating assigned actions and papers, and disseminating minutes in a timely manner.
- Coordinate, monitor and quality assure incoming correspondence and prepare draft responses or other correspondence as required, ensuring deadlines are met.
- Participate in specific initiatives and priorities, aimed at continuous improvement and enhancement across HWQld, including the ability to identify, develop, and implement practices which will improve workflow, efficiency, and effectiveness across the agency.
- Maintain and establish effective working relationships with the Senior Director’s teams and liaise with internal and external stakeholders to provide necessary information and actions as required.
- Stay informed on a wide range of policies and delegation levels which include financial, procurement, records and human resources procedures and manage the flow of work and tasks accordingly.
